Complaints Procedure

Purpose

Bebington Archers is committed to providing a safe, welcoming and enjoyable environment for all members. Complaints and concerns will be dealt with fairly, promptly and confidentially.

1. Making a complaint

All general complaints must be made in writing to the Club Secretary:
bebingtonarcherssecretary@gmail.com

Please include your name and contact details, a clear description of the complaint, the date/time/location where relevant, names of those involved or witnesses, and any supporting information or evidence. Where appropriate, minor matters may be resolved informally.

2. Serious welfare or safeguarding concerns

Serious welfare, safeguarding, abuse, grooming, or concerns about the safety of a child, young person or adult at risk must
be reported directly to the Club Welfare Officer:
Bebingtonwelfare@gmail.com

Do not attempt to investigate a safeguarding concern yourself. The Welfare Officer will follow the appropriate Archery GB safeguarding procedures and, where necessary, refer the matter to Archery GB or the appropriate authorities. If someone is in immediate danger or seriously injured, contact 999 first.

3. How complaints are handled

  1. The Secretary will acknowledge the complaint and determine the appropriate course of action.
  2. Relevant information and evidence will be gathered where necessary.
  3. Anyone complained about will be given an opportunity to understand the complaint and provide a response.
  4. The club will seek to resolve matters fairly, proportionately and without unnecessary delay.
  5. Appropriate records will be kept and confidentiality maintained as far as possible.
  6. Conflicts of interest & escalation

4. Conflicts of interest & escalation

If a complaint concerns the Club Secretary, it should be referred to the Club Chairperson. If it concerns the Welfare Officer, or they cannot act independently, it should be referred to the Chairperson and/or Archery GB’s safeguarding team. Matters falling under Archery GB disciplinary or safeguarding procedures will be referred as appropriate.

5. Our committment

No member will be victimised or disadvantaged for raising a genuine complaint or concern. This procedure should be read alongside the relevant Archery GB safeguarding, disciplinary and codes of conduct policies.
